Before a project to replace an ERP system can begin it is essential for the client to document their key business requirements and provide background information on the organisation and the need for change. This analysis will form the basis of the search and selection process and engagement with potential suppliers. The requirements document will also become a significant project management tool which can be used to ensure the system is delivered as specified and meets the needs of the client.

Whilst much of this information is available anecdotally, in many businesses it most likely does not exist in document format. To gather the information needed we would meet with key individuals/teams within the clients business and work through their particular requirements, identifying and separating ‘must haves’ and ‘would like to haves’. There would also be an element of general requirement gathering which would be carried out with the heads of department and the clients nominated project sponsor.

The requirements analysis can be used as a formal tender document or can simply be a checklist for potential suppliers ahead of formal presentations and to aide product demonstrations.

The Selection Process
Once the requirements have been gathered selection can begin. Taking time to consider the options which exist in the market will enable the client to identify the differences between core functionality (offered by all) and attributes which are very specific to an author or reseller.  Reviewing the applications may also help to refine the requirements analysis as the client learns what is widely available and achievable and what may be outside the reach of the project/budget.
